Office Administration Manager

Job Description

Our client based in the Staplehurst area are looking to recruit an Office Administration Manager to join their team on a permanent basis.

 The role

  • Supervise and allocate work to the office staff (3) who have varying skills and experience in the business.
  • Organise, schedule and quality control work activity within the office team.
  • Oversee the operation and maintenance of existing record systems (Goods inwards, post/courier goods despatches, attendance records, document scanning & electronic filing etc).
  • Order supplies for project production and general office requirements
  • Manage the regular flow of validation work on the lists of Healthcare professionals the company supplies.
  • You will liaise closely with the on-site Production Manager (and warehouse staff) and Business Development Director to ensure work / projects are completed to client’s agreed schedules
  • Organise servicing / maintenance of equipment contracts to ensure equipment is routinely serviced.
  • Maintain the necessary documents for client Procurement enquiries / documentation
  • Be the central point of ISO 9001 Quality Standard documents and information

The position requires

  • Candidates with experience of managing staff, organising routine work, one-off projects and scheduling staff activity.
  • You should be used to dealing with internal & external contacts to achieve results to meet deadlines.
  • Candidates with good knowledge and confidence with Microsoft Office (Outlook, Word, Excel, Access and Teams) to communicate internally (with 5 office based and 2-3 home-workers) and externally to suppliers and clients.
  • You should have computer skills, confidence and understanding for using other software systems (after instruction / training) to assist with the business operation.  These systems are with external suppliers (Post (Royal Mail), couriers (DPD), office supplies (Viking) etc)
  • You will assist production using internal systems to maintain the company’s operation of client services / systems
  • The company is moving to paperless full electronic operation and has progressed some way down that route
  • They liaise with the off-site Business Development Director who generates the projects / sales.
  • The Office Administration Manager will report to the Managing Director and be a key part of the management team

General

The company works a 09.00 to 17.00 (with 1 hour lunch) Monday – Friday.

The position is office based.  Some remote working may be possible once experience is gained.

The position is with 5 weeks annual holiday (plus Bank holidays) per calendar year.

Salary: circa £25,000 per annum
